How much does personal training software cost in 2026? Every kind of fee, explained

Sticker prices hide the real bill: payment percentages, AI add-ons, per-client fees. What coaching platforms actually charge at £2,000 a month of revenue, and the quiet-month test.

Ask what personal training software costs and you will get a number. That number is usually wrong, because this category has quietly become expert at pricing in layers: a subscription you compared, plus a payment percentage you noticed late, plus feature add-ons that arrive after you have committed. Two platforms with identical sticker prices can end a year thousands apart on the same roster.

We are free software with a transaction fee (7.9% when a client pays you, nothing when they do not), so we have an obvious interest in this argument winning. But the maths below is checkable regardless of whose platform you run it on, and the categories apply to everyone.

The three pricing models, honestly drawn

Flat subscription is the familiar one: a monthly fee, often tiered by client count or features, from around £15 at the bottom end to several hundred a month for studio-scale plans. It is predictable, which is its whole selling point, and it is also its flaw. Your income is seasonal. Your software bill is not. February costs the same as December, and in the month you most want your overheads to shrink, they do not.

Percentage of revenue flips it: little or nothing up front, a cut when money moves. This is how marketplaces have always charged, and it has migrated into coaching software. The objection is philosophical — why should your rent scale with success? — though the better implementations cap what the percentage touches or fold card processing into it, which changes the arithmetic considerably.

Hybrid is increasingly common and deserves scrutiny every time: a smaller base fee plus a platform percentage plus processing. Each component looks reasonable in isolation. Stacked, they can exceed either pure model, and stacked is precisely how hybrid quotes are presented.

The fees that never make the headline

For the studio side specifically — yoga, pilates, class spaces — the yoga software cost breakdown runs the same maths at three studio sizes. Whatever the model, four costs hide in the footnotes:

Payment processing, sometimes included, sometimes 3% or so on top. On a coach turning over £30,000 through the platform, that difference alone is nearly a thousand pounds a year.

Per-client fees, which punish exactly the thing you are trying to do — grow. A pound per active client a month is invisible at fifteen clients and material at eighty.

Add-ons, the classic being nutrition. Meal planning sits behind its own tier at several mainstream platforms, commonly £20 to £45 a month, and AI features are the newest member of the family. If the AI capability you are comparing is a paid extra, price it in; if it ships free, price the competitor's version in too, because "free" versus "absent from the quote" is not a fair fight.

Cancellation friction, which costs nothing monthly and plenty annually, in the form of plans people keep paying for out of inertia or export hassle.

A worked example at £2,000 a month

Take a coach running £2,000 of monthly client payments through their platform. Here is the shape of a year under each model, deliberately rounded:

Read that properly. At £2,000 a month the three shapes converge to within £700 a year of each other, and none is embarrassing. The interesting table is the same roster in a quieter stretch, say £800 a month:

The ranking flips. Percentage pricing wins when revenue dips; flat subscriptions win at volume; and the hybrid, which looked reasonable in both columns separately, quietly loses at both ends once the components stack. None of this is a scam. They are bets about your future income, and the honest question is which bet matches the business you actually have — including the months you would rather not talk about.

If your revenue swings hard seasonally (outdoor bootcamps, January joiners, summer exodus), the flat fee quietly becomes your biggest fixed cost. If you are scaling past £4,000 a month and the platform takes a percentage with no ceiling, you are paying a growing tax on success for software whose costs to serve barely move.

How to read any quote in five minutes

Add the components rather than comparing the headline: base plan, payment take (platform percentage plus processing), and the add-ons you would genuinely switch on. Then divide by what you actually collect in a quiet month, not an average one, because averages flatter subscription pricing by hiding the months you pay for work you did not get.

One more thing worth checking before you sign anything: what happens to your data when you leave. Export formats, whether client payment relationships survive a move, and who holds the card mandates. A cheap platform you cannot leave is expensive at exactly the moment you need it to be cheap.
